Kolekt is built for Canadian operators. This policy describes how we handle personal information under PIPEDA, Quebec Law 25, BC PIPA, and Alberta PIPA.

Working draft
Kolekt is in private beta. This document is a working draft and will be reviewed by Growthify Ltd's legal counsel before any customer data is collected. Operators considering Kolekt for regulated workloads should request the executed version when it issues.
Who we are
Kolekt is operated by Growthify Ltd, a company registered in England & Wales. For Canadian customers, Growthify Ltd is the data controller for personal information collected via the Kolekt service.

What information we collect
Kolekt processes information necessary to operate an AI receptionist line for the operator. The categories include:
- Account information from the operator (name, email, business details)
- Configuration data the operator provides (hours, services, knowledge base)
- Inbound call audio, transcripts, and summaries from end-callers
- Lead and booking records derived from those calls
- Service telemetry (latency, error rates, call success metrics)
Why we process it
We process the information above to provide the Kolekt service the operator has subscribed to — answering inbound calls, capturing leads, scheduling bookings, and reporting outcomes. The complete set of operative purposes will be enumerated in the executed version of this policy.
Where it is stored
Customer data is hosted in Canadian cloud regions to align with provincial privacy law expectations. The specific subprocessors (cloud hosting, telephony, AI inference, observability) and their data-residency commitments are listed in the Data Processing Agreement.
How long we keep it
Default retention: call recordings and transcripts are retained for twelve months from creation, then deleted. Lead and booking records are retained for the duration of the operator's account. Operators can request shorter retention windows during onboarding.
Your rights
Under PIPEDA and applicable provincial law, individuals whose information is processed by Kolekt have rights including access, correction, withdrawal of consent, and (under Quebec Law 25) portability and information about automated decision-making.
End-callers exercise these rights via the operator (the business they called). Operators exercise their own rights via the compliance contact above.
Call recording and AI disclosure
Inbound calls handled by Kolekt are answered by an AI agent and may be recorded. The agent discloses both at the opening of every call. Disclosure language and consent handling vary by province — see the AI Disclosure document for details.
Updates
We will publish material updates to this policy on this page and notify operators by email at least thirty days before they take effect.
